This policy outlines expectations regarding session attendance, cancellations, absences, holidays, and termination of tutoring services. It exists separately from the Refund Policy, which addresses consumer rights under Australian Consumer Law.
1) Session Commitment
Tutoring sessions are booked as a regular, ongoing commitment for the duration of a school term or agreed period.
By enrolling, families are reserving a dedicated weekly time slot that is held exclusively for their child.
2) Cancellations and Absences
If a student is unable to attend a scheduled session, the session is still chargeable unless sufficient notice is provided.
Cancellations or absences include, but are not limited to:
- illness
- school events
- family commitments
- holidays
- forgotten sessions
- technology issues (for online sessions)
3) Notice Requirements
A minimum of 4 weeks’ notice is required to cancel tutoring services or to release a regular weekly session time.
This notice may be provided as:
- 4 weeks’ written notice, or
- payment in lieu of notice
This allows adequate time to reallocate tutoring capacity and maintain continuity of service.
4) Short-Term Absences and Holidays
Short-term absences, including family holidays, do not pause or suspend fees.
School holiday breaks follow the official school holiday calendar of the student’s state or territory.
For example:
- South Australian students follow SA school holidays
- Victorian students follow VIC school holidays
- ACT students follow ACT school holidays
Tutoring does not operate during official school holidays unless otherwise agreed in writing.
5) Rescheduling
Rescheduling is not guaranteed and is subject to tutor availability.
Where possible, an alternative time may be offered, but this is at the discretion of the tutor and cannot be relied upon.
6) Tutor Cancellations
If the tutor needs to cancel a session, families will be offered either:
- a rescheduled session, or
- a credit toward a future session
7) Termination of Services
Either party may terminate tutoring services with 4 weeks’ notice or payment in lieu of notice.
- Termination must be provided in writing.
